Welcome to Klaravik's document on the processing of personal data. This document is intended to help you make an informed decision regarding your relationship with us.

Before going into details, we would like to highlight three important points that this document is about. The points are important to us because we know they are important to you:

Parties and responsibility for the processing of your personal data

Klaravik Finland Oy (2773899-6, Itäinenkatu 13, 33210 Tampere) is a private service company that provides our Customers with online auction services and repossession of tools, machines, commercial vehicles, and bankruptcy estates, which is referred to below as the "Service". This takes place through www.klaravik.fi. You who are a user and have your own login details for the Service are referred to below as the "User". Klaravik is a trademark of TBAuctions Netherlands B.V. and is part of the TBAuctions Group. In the organisation there is the role of "Data Protection Officer" who is your representative in the Service with responsibility for adding users, assigning rights and responsibilities regarding how Klaravik acts regarding the processing of data, including personal data.

Klaravik is the personal data controller for the processing of the personal data that you share with us when:

– you order the Service as a Customer

– you receive login information and become a user of the Service

– you have a question and/or contact us

– you visit our website and accept cookies

Which personal data is processed varies depending on the type of contact we have and whether you are a company or a private individual. Company data can become personal data for a customer who is an individual company. When you order the Service as a Customer, we collect your contact details and company details. All users have registered contact details, login details, and online identification with us to use the Service. If you have a question or contact us regarding any other matter, the amount of personal data and which ones it contains may vary depending on the communication channel used. Categories of personal data are usually contact details, online identifications, company details, and the case itself as unstructured material, which contains the personal data you have chosen to share with us. A detailed list of which personal data appears in different categories, on which occasions, and on which legal basis the processing is based, can be found in Appendix 1. Why do we process your personal data?

Klaravik collects this personal data about you as a user and customer to be able to provide Services, fulfill obligations towards you according to agreements, and give you the best possible experience of both the Service and our website. It is needed for us to identify you, and administer your account, for statistical purposes and direct marketing (from which you can opt out). Contact details, company details, and information about which auctions you participated in are needed to fulfill our obligations such as handling your bids, invoicing, and sending you information. When you contact us via one of Klaravik's communication channels, the information about you is used to be able to handle the case, to be able to contact you and to contribute to improving our service by saving the case in case of recurring questions. If you visit Klaravik's website, you agree to cookies for the processing of your data.

Who do we share personal data with?

Sometimes we may share personal data with subcontractors or cooperation partners to Klaravik. These parties have corresponding obligations regarding the processing of personal data according to the GDPR as we do.

How long do we store your personal data?

Klaravik saves personal data about registering registered users as long as there is a relationship or is necessary to achieve the purpose described in this policy. Upon termination of the agreement, Klaravik will delete or anonymize your data within a reasonable time after termination, unless another Finnish or European law, court, or authority says otherwise. Data in the Service is deleted by the system administrator. Information collected when you contact us is stored as long as you are a customer with us to fulfill our commitment. At the end of the customer relationship, we can store them based on the balance of interests as evidence in case problems arise. The storage is then limited to a passive system and with controlled authorization.

What rights do you have?

As registered with Klaravik, you have several rights that you should be aware of. You have the right to request a register extract in writing once a year free of charge, provided you have legitimate reasons, about what information is registered about you. In some cases, you also have the right to data portability of the personal data. You have the right to have your personal data corrected if it is incorrect, incomplete, or misleading and the right to restrict the processing of personal data until it is changed. You have the right to be forgotten, but deletion of personal data cannot take place if it is required to fulfill the agreement or if another Finnish or European law, court, or authority decision says otherwise, and if it is based on a balancing of interests. Should you think that there are no justified reasons or that the balancing of interests is incorrect, you have the right to object to the processing. You also have the right to withdraw consent, submit a complaint about the processing to the Data Protection Authority, oppose automatic decision-making, and profiling, and object to direct marketing.
